Viovi Cleaning Services Ltd is the data controller for the personal information described in this policy. This is a registered office address only — it is not a trading location and we do not see customers there.
What we collect
- Enquiry details — your name, email address, phone number, postcode, property details and any message or photos you send us through our quote form, by email, phone or WhatsApp.
- Service records — details of the cleaning work carried out, visit dates and payment records.
- Technical data — basic information your browser sends when you visit the site, used to keep the site secure and working correctly.
Why we use it and our lawful basis
- To prepare a quote and answer your enquiry — our legitimate interests in responding to requests for our services, and steps taken at your request prior to a contract.
- To deliver and manage the cleaning service you have booked — performance of a contract.
- To keep accounting and tax records — legal obligation.
- To place non-essential cookies, if we ever use them — consent, which you can withdraw at any time.
Photos you send us
Photos submitted through the quote form or by WhatsApp are used solely to assess the work and prepare an accurate price. They are stored privately and are not published or shared for marketing without your separate written permission. Please avoid including people or sensitive documents in the photos you send.
Who we share it with
We do not sell your data. We share it only with service providers that help us operate — our website and database hosting provider, our email provider, and our accountant — all of whom process data on our instructions. We may disclose information where we are legally required to do so.
How long we keep it
Quote enquiries that do not become bookings are kept for up to 12 months. Customer and financial records are kept for 6 years plus the current tax year, as required by UK tax law. Photos are deleted once the quote or job is complete and any related dispute period has passed.
Your rights
Under UK GDPR you have the right to access your data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, and to data portability. To exercise any of these, email info@viovicleaningservices.co.uk. We will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
